Administrative Services This service aims at offloading burdens form the human
resources department of multinational corporations. We help
to deal with all matters related to tenancy, contract and
payment management. The work and analysis will make sure
that the corporate clients’ interest is protected for the
duration of the lease.
Tenancy and Contract Management
- JRE will work with you or your employee, HR
specialist and the landlord to ensure that all requests
(including the furnishing and company housing policy,
etc) are included in the offer. We will work with you to
ensure that the offer terms are accurately reflected in
the tenancy agreement.
- Establish computerized Corporate Contract Management
Chart (including tenant information, landlord
information, rent, payment schedule, lease term, deposit
status, extension status. See Appendix)
- Update Corporate Contract Management Chart and send
to our client’s Admin Dept every month
- Inform the upcoming lease expiry and arrange
relevant follow up work
- Manage previous contracts as well as newly signed
contracts
- Provide work report to HR specialist every month
- Hold regular meetings with HR specialist
Hand Over of the Premises
- Prior to occupancy, a JRE representative will carry
out an inspection of the property for any defects that
need to be rectified until it is completed. The tenant
and a JRE rep together with the Landlord or his/her rep
will be provided copies of handover form. We will work
with the Landlord to ensure any outstanding defects (if
any) will be handled to your employee’s satisfaction.
Initial Follow Up
- JRE will telephone your employee during the first
week after they move-in to ensure that everything is
satisfactory. We will also assist with the purchase of
home furnishings, hiring domestic help and any other
settling in services that your employee may require.
Ongoing Support 24 Hours Coverage
- JRE will provide a 24X7 service hotline to answer
any of your employee’s questions as well as resolve
their problems during their stay in China.
Return of Premises to the Landlord
- Prior to your employee’s departure, we will
coordinate with the landlord and submit the notice of
termination. On the move out date, a JRE rep will be on
hand to ensure a smooth transition. We will also
follow-up with the landlord to ensure that your deposit
is returned and all the utilities are disconnected and
paid. In addition, we will provide a check out report to
your HR specialist for record.
Tenancy Agreement Renewals
- JRE will advise the renewal strategy, the current
market value and seek approval of HR as earlier as
possible before taking the necessary action.
- We will assist your HR specialist and your
employees to negotiate the terms of the agreement and
prepare the agreement for both parties to sign.
Finance Management
- Rental Management: Collect all the Debit Notes,
utilities bills and other bills from both the landlord
and management office at the end of each month.
- Screen all bills, make sure there are no double
payments, over payments and other mistakes
- Break down all bills according to the properties,
make Monthly Payment Management Chart
- Send our clients the Monthly Payment
Management Chart with all the bills attached
- Ensure that every payment is done correctly and on
time by clients
- Make sure all payment will come back with official
receipts
- Deposit Management: Make sure the deposit has been
returned back at the end of the lease
